Imagine knowing where all of your documents are at any given time within your business, not only your documents but individual pages.
Breeze recognised this was a challenge for several of their customers and created an innovative solution to not only keep track of the softcopy, but also the whereabouts of the hard copy as it moved around the business. Between Magellan’s unique RFID technology, which enables a stack of documents to be read at once and the Breeze RFID document management solution, this created a powerful result for our customers.
By integrating the software solution with the Magellan RFID products, the customer has the ability to keep instant track of documents as they are physically moved as well as being checked in and out of the clients SharePoint site.
Before the doctor takes home his patient files to continue his research in an evening he places the hard copy documents on the tray in the office. The system will then track the movements of the documents and reflect the changes in the SharePoint site within the companies’ intranet to state that the doctor has checked-out the files. Other employees within the business are updated in real time of the current status of the patient documents via the SharePoint site. The system also logs the current time and location of the document reader so that it is possible to track where a document was last. This enables the consultants within the hospital to work more collaboratively and efficiently with their patient records, thereby cost effectively streamlining the business processes.
One of the many advantages of the Breeze document management solution is that it enables the ‘check in’ and ‘check out’ process of documents, files and forms all from within Microsoft SharePoint. The full functionality of SharePoint is able to be utilised allowing the ability to build custom SharePoint workflows around the business requirements.
This solution can be applied to many industries by using other RFID hardware in Magellan product range. For example by using the RFID Smart Shelves and the Breeze document management solution it is possible to track and trace such goods as sunglasses on a shelf, jewellery behind a counter, hospital equipment inventory; the possibilities are endless.
